WHMCS is an all-in-one client management, billing & support solution for online businesses. Handling everything from signup to termination, WHMCS is a powerful automation & support tool. It is not limited to just web hosting, any business with a need for online billing, particularly of a recurring nature, for example services or memberships, then WHMCS can be a perfect solution.  WHMCS can be used as a standalone client area portal, or integrated into your website, and provides you with a members area to allow clients to signup and manage their account & services with you, make payments, and request support. WHMCS integrates with payment gateways, server provisioning APIs, domain registrars & fraud protection services to be able to fully automate the ordering and provisioning process.

Typical Client Life Cycle

  • A visitor has an enquiry about your services and opens a ticket with you in WHMCS
  • All your staff can see and respond to that message, and try to convert that visitor into a buyer
  • If things go well, that visitor then chooses a product to buy on your website
  • WHMCS shows the configuration options for products which can include domains, payment options, addons/options & custom fields
  • If a domain is required, WHMCS will check the availability of the domain in real-time
  • After selecting and configuring a product, WHMCS will show the user a cart summary where the user can continue shopping and select more items, or checkout and place the order
  • Upon checkout, WHMCS will forward the user to the chosen payment gateway to make payment
  • Once payment has successfully cleared, WHMCS will detect that and automatically provision the items that were ordered
  • Following successful setup, WHMCS will send a welcome email to the client containing all the details of the new product(s) they just bought
  • When it comes to time for renewal, WHMCS sends out an invoice x days in advance of the renewal (configurable)
  • If the credit card on file (merchant gateways only) is approaching expiry, then WHMCS will notify the client the month before
  • On the due date WHMCS will automatically collect the payment where possible
  • If payment fails or the client chooses not to pay, WHMCS will send overdue notices & reminders
  • Should payment still not be received, WHMCS will automatically suspend the service after the third late notice
  • If the item remains unpaid for a set period of time, WHMCS can then apply a late payment fee to the invoice automatically
  • If the client then pays the service will be immediately reactivated, but if the account becomes dormant then WHMCS will terminate it
